Privacy Policy for PBO Online Logbook
1. Introduction
Welcome to the PBO Online Logbook. We are committed to protecting your privacy and ensuring the security of the data you entrust to us. This Privacy Policy explains how we collect, use, and protect your information when you use our website and service.
2. The Core of Our Privacy Approach: No Patient PII
The PBO Online Logbook is designed with privacy by default. We do not collect, store, or process any Personally Identifiable Information (PII) regarding patients. * You are strictly required to use anonymized Patient Reference Numbers when logging records.
Do not enter patient names, addresses, contact numbers, or any other direct identifiers into the system.
Any mapping or matching of Patient Reference Numbers to actual patient identities must be done outside of our Service, stored securely by you, the user, on your own local systems or institutional records.
3. Information We Collect
While we do not store patient PII, we do collect information necessary to operate the Service for you (the user):
- Account Information: When you register, we collect personal information such as your name, email address, profession/title, and login credentials.
- Logbook Data: We store the clinical or procedural data you encode, which is linked exclusively to the anonymized Patient Reference Numbers.
- Technical and Usage Data: We automatically collect standard internet log information, such as your IP address, browser type, device information, and timestamps of your logins and actions within the app. We use this strictly for security monitoring and system troubleshooting.
4. How We Use Your Information
The information we collect is used solely for the following purposes:
- To create, manage, and secure your user account.
- To provide, operate, and maintain the logbook service.
- To notify you of scheduled maintenance, system updates, or critical security alerts.
- To monitor system performance and detect any fraudulent or unauthorized activity.
5. Data Security
We implement industry-standard security measures, including data encryption in transit and at rest, to protect your account information and the anonymized logbook data. However, you are responsible for keeping your login credentials confidential and for ensuring you log out of shared or public devices.
6. Data Sharing and Disclosure
We respect your ownership of your data.
- No Selling of Data: We will never sell, rent, or trade your personal information or your logbook data to third parties.
- Service Providers: We may use trusted third-party services (such as secure cloud hosting providers) to run our app. These providers are bound by strict confidentiality agreements and may only use data as instructed by us to maintain the Service.
- Legal Requirements: We may disclose your information if required to do so by law, court order, or governmental regulation.
7. Data Retention and Deletion
We will retain your account information and encoded logbook data for as long as your account is active. If you wish to delete your account, you may request this at any time. Upon account deletion, all associated user data and logbook records will be permanently removed from our active databases, subject to any brief retention in secure system backups before being fully overwritten.
8. Changes to This Privacy Policy
We may update our Privacy Policy from time to time. We will notify you of any material changes by posting the new Privacy Policy on this page and updating the effective date. Your continued use of the Service after changes are published constitutes your acceptance of the revised policy.
9. Contact Us
